Wedding planning

A dreamy wedding filled with lush blooms, intentional design, and styling that holds special meaning makes our hearts ab-so-lute-ly sing, and for good reason : they're the best kind to attend {a flawless guest experience is one of our obsessions}, and as the years go by, they tend to go down as legendary in family folklore.

With extensive experience in weddings from our eleven+ years in the industry, we're here to help you ditch the mental load of trying to bring every last detail together. You design the day of your dreams ; we'll make sure the details aren't only accounted for, but are completely gorgeous too.

Using your love story as our inspiration, we'll work together to select styling details that honour and celebrate your story throughout every aspect of your wedding. With all florals and styling items included in our planning fee, you won't need to remember any flower types for bouquets or table arrangements, or calculate how many candles and vases you need, or even consider how to put it all together into a floor plan, because we'll take care of it all.

We love lightening the logistics load too - we'll connect you with a dream team of values-aligned suppliers, who we're confident will end up feeling more like friends than vendors come wedding time. We'll help you design your dream from dawn til nightfall, tailoring run-sheets that are flexible enough to allow real life to happen, but also detailed enough so you know exactly what to expect on the day.

And then, on your wedding day, the only running you'll be doing is into your beloved's arms - not 'around like a headless chook.' You can leave any hint of busyness to us.

From beginning to end, we'll plan our hearts out to ensure your wedding is a celebration that feels just like you - the best, un-stressed, most in-love version of you, that is.

Wondering how it all works? Here's our process :

We'll further refine your creative design and estimate together, touching base online or in person at times that work best with your schedule. We'll visit your venue to envision how your wedding will unfold - your guest journey, and how your styling concept will practically come together. We'll maintain relationships with all your suppliers, including overseeing contracts and any other queries they may have, and we'll refine floor plans and run sheets to allow for real-life flexibility, but also no nasty surprises. We'll confirm all the final details in a phone or Zoom call, and be available via text as you need us in the lead up to The Big Day.

On the day, we'll deliver all wedding party and family florals to your accommodation, be on-site at your venue from bump-in, to long after the last guest has headed home. Team Petal will supervise all florals, décor, design, and hire items, double checking that every last place card and candlestick are exactly where they need to be. We'll act as the main point people for your venue & suppliers {who we'll be very good friends with at this stage!} and our experienced co-ordinators will ensure a smooth running of your schedule, applying flexibility to timelines if needed. Just before the party finishes, we'll help wrap up all florals to send home with your guests, then pack-down all décor, design, and hire items, waving yourself, all guests and suppliers safely into the night.

  • What's the booking process like?

We'll send though your fully-tailored mood board and estimate, which you are welcome to adjust as needed. You'll be invited to pay our booking fee to save the date with us {which is 20% of your overall invoice} and then we'd love to catch up in person! We’ll go through your full design in detail over celebratory drinks, and cheers to all the wedding planning we have ahead of us.
  • Wait - are all flowers and styling really included in the planning fee?
    Absolutely, petal. Our planning service is a fully immersive, no stone left unturned, every detail accounted for experience, and is priced to reflect the time we invest into making your wedding dreams come true. Including florals and styling in our planning service fee is a no brainer — we'll be helping you create the day of your dreams, so it makes sense that we help design how it looks like too. This gives you one less supplier to hunt down, while also ticking off a major item from your wedding to-do list.
  • Why hire a wedding planner? What does it get us?
    Hiring a wedding planner will give you : Time : Planning your wedding is our full-time job, giving you the time to reclaim your evenings and weekends to enjoy and be fully present in the lead up to one of the biggest, most important, and special days of your life. Mental space : Your brain can be filled with flowers, dresses, wedding showers, champagne, and dancing into the night — as it well should be. Our brains will be full of seating charts, candle inventory, spreadsheets, emails with suppliers, plus so much more — as they well should be. Energy : We'll tailor your day-of run sheet to your needs, and handle all the back and forth of logistics between your venue and suppliers in the lead up. We'll happily be your soundboard and help strategize if a family or wedding party member starts to act up. We'll read over all your contracts to check that they're fair and reasonable. And we'll be there to talk you down when you can feel yourself going over the edge deciding between folded, draped or knotted napkins {trust us, it's a thing.} Money : We absolutely love ensuring you're getting the best bang for your buck, without compromising on quality.   • How much can we change our creative ideas during the planning process?
    As much as you want, petal! While we're pretty confident that your mood board and design document will be a good reflection of what you want your event to look and feel like, we LOVE to collaborate with our petals, and are open to any creative tweaks you think might need to be made. Our final call for design changes is one month before The Big Day — any closer than that, and it’s cutting things a bit fine!
  • Can we repurpose ceremony flowers?
    Sure can, so long as we plan for it ahead of time. We absolutely love repurposing your florals to be further enjoyed by yourselves, your family, and guests! We design our larger floral installs with the intention to transfer them to your reception space, however we also take into consideration the flexibility in your timeline, and the ease of transferring the install without them being damaged, or the integrity of the structure or florals being compromised.
  • How soon do we need to book?
    Most of our clients book 6-12 months out from their event, but we can work to a shorter lead time if needed.
  • Do you offer payment plans?
    Absolutely — paying for a wedding can be stressful, even if you've budgeted for it really well! We'll split your package into multiple payments, to make the amounts as manageable as possible, with the remaining amount due to be paid in full 14 days before your event.
  • Does Oh Hello Petal offer any other event services?
    Oh Hello Petal also offers styling for private events such as birthdays, hens, bucks & hucks, anniversaries, and selected corporate events.
  • Can we still work together if we don't live in Melbourne?
    Absolutely! We offer virtual consults for interstate and international Petals looking for someone to share the mental load of wedding planning.
  • A family friend has offered to do some of our flowers - that's ok, right?
    As much as we adore this person's heart {we're going to guess it's your great-aunt-Ethel, right?} and their desire to help, we have to say a quiet eek and a loving hard pass, and this is for a couple of reasons. As our in-house design team are already so fantastic, we're particularly picky about any other florists we do work with. All the suppliers we engage are superstars and highly reputable within the industry, meaning your wedding will be of the highest quality with cohesive, gorgeous design from start to finish.

Day of Co-ordination

Here's a secret abut weddings : on your big day, you're allowed to be relaxed.

 

On your wedding day, the only running we want you to do is into your beloved's arms - not 'around like a headless chook.' Leave that to us!

One month out from The Big Day, we’ll make contact with your venue, assist with your floor plans, generate run sheets, confirm that your suppliers are on the same page. When The Big Day arrives you can relax, knowing that we’ll do everything to make sure that every last detail falls into place as we’ve planned.

Day of Co-ordination can be booked separately from our planning & styling services.
